How it works
Clients, step by step.
Everyone you work for, with their history. These are the same steps you will see inside Flow, in the guide at the top of Clients.
- 01They are recorded for youEverybody who buys a product, subscribes, is invoiced or quoted, books a meeting or answers a form lands here by themselves — once per email address, however often they come back.
- 02Add the rest by hand, import or pasteAdd somebody yourself, import a spreadsheet (Excel or CSV), or paste a list of email addresses. Anybody already here is matched, never added twice.
- 03Open a client for their whole historyWhat they have paid (net of refunds), what they still owe on unpaid invoices, their projects, notes and every payment, in one place.
- 04Group them with contact listsMake lists like Star or Diamond, then filter by a list or put many people on one at once. Email uses the same lists.
- 05Act on many at onceTick clients to add them to a list, copy their emails, write to them in your own mail app, or archive them. Export Excel gives you exactly what you have filtered.
- 06Merge duplicatesTwo records for one person? Merge them — invoices, projects, notes and lists move across to the one you keep.
- Copying, exporting and screenshots of the client list by your team are noticed, and the owner is told.
Why it is better in Flow

- Money at a glanceWhat each client has paid, net of refunds, and what is still owed on their unpaid invoices.
- Duplicates mergedTwo records for one person? Merge them — invoices, projects, notes and lists move across.
- Your client list is protectedCopying, exporting and screenshots by your team are noticed, and the owner is told.
Questions
About Clients.
Do I have to add clients myself?
Rarely. Anybody who pays, books, is invoiced or quoted, or answers one of your forms is added automatically — you only add the ones who arrive some other way.
Can I bring my existing client list?
Yes. Import an Excel or CSV file, or paste a list of email addresses. People already in Flow are matched rather than added twice.
